Southern Payroll & Bookkeeping has been voted first place in Bookkeeping & Payroll at Chattanooga’s Best of the Best People’s Choice Awards 2026. It is the second year running we have taken the category.

The winners were announced at the Best of the Best banquet on the night of Thursday, September 17, 2026 at the Chattanooga Convention Center. The awards are run by the Chattanooga Times Free Press, and every category is decided by public vote. You can read the Times Free Press write-up of our win here.

The Southern Payroll & Bookkeeping team — first place in Bookkeeping & Payroll, Chattanooga’s Best of the Best 2026.

Twice is a different thing than once

Winning the first time was a genuine surprise. Winning it again is the part we did not take for granted.

A first win can be a good year, a burst of goodwill, a few people who happened to remember the ballot. A second win means the same clients and neighbors went back twelve months later — after another full year of us actually doing the work — and put our name in the box again. That is a harder thing to earn, and a more honest signal than the first one was.

What changed in the last twelve months

Quite a lot, as it turns out.

We were named a national winner in the Gusto AI Innovation Awards this August — one of six firms in the country recognized in the Growth & Scale category — for the work our team has done building AI into how we run payroll and bookkeeping. A labor report that used to take fifteen hours now takes about three minutes.

We promoted from within. We sent people to Xerocon in Denver and to Zoholics in both Houston and Manila, and they came back with things we have already put into practice.

None of that shows up on a ballot. But it shows up in how fast a client gets an answer, and whether their payroll lands on time. That is what people were actually voting on.

What we think the vote was really about

We now look after the books and payroll for more than 120 businesses, and every one of them is handled by a team rather than a single person. On each account there is a primary bookkeeper and a primary payroll contact who know how that company operates and what its slow months look like, and behind them two backups who know the account well enough to step in without the client having to re-explain anything.

That is a deliberately expensive way to structure a firm. It is also the reason a client can call on any given day — holiday, sick day, busy season — and reach someone who already knows their account, instead of repeating themselves to whoever picks up. We think that is what a people’s choice award actually measures.

Rooted in Chattanooga, working across more than 30 states

We process payroll and keep books for businesses in more than 30 states. Southern Payroll & Bookkeeping is a Chattanooga firm — it is where we were founded and where our office is. Our team reaches further than that, with people working remotely across the US and overseas.

That combination is the whole point. A client calling about a multi-state hire reaches someone who knows what a Tennessee unemployment filing looks like, and what happens when a growing company crosses into Georgia or Alabama. Being voted first by this community, two years running, in a category that names both halves of what we do, suggests we are getting that balance right.

First Place, Best Bookkeeping & Payroll — Chattanooga Times Free Press, 2026.

Thank you

To every client and neighbor who voted — thank you. You had to go out of your way to do it, twice now, and we know it.

And to our team: this is your award, again. First place in a public vote is not something a marketing department can manufacture. It is the accumulated result of payrolls filed on time, books closed cleanly, and calls answered by someone who knew the answer.

Last year’s win is here: First Place: Best Bookkeeping & Payroll — Chattanooga’s Best of the Best 2025.

Six of us travelled to Xerocon Denver, Zoholics Houston and Zoholics Manila this year. Xero Payroll powered by Gusto, Zoho Payroll reaching all 50 states, and live ledger data for AI assistants — here is what actually matters for your business.

This year six of us travelled to three conferences on two continents. Here is what we went for, and what we brought back.

We go to these events for one reason: the platforms our clients run on move fast, and we would rather hear about a change on stage than discover it in a client’s ledger six months later.

The year in order: Zoholics USA in Houston on 12–13 May, Zoholics Manila on 3 July, and Xerocon Denver on 19–20 August. We have put Xerocon first below, because that is where the news most likely to affect your payroll came from.

Xerocon Denver — August 19–20, 2026

Who went: George Wilson (CEO), Kirsten Gray (Bookkeeper) and Charlene Womack (Major Accounts Bookkeeper).

Xerocon is Xero’s partner conference, held this year at the Colorado Convention Center with more than 45 exhibitors. Three announcements matter most for the businesses we serve:

1. Xero Payroll powered by Gusto

Xero announced a payroll engine for US small businesses built on Gusto. For most firms that is interesting news. For us it is unusually direct: we are both a Xero Platinum Partner and a Gusto Gold Partner, and a good share of our clients already run exactly that pairing. The two halves of that stack getting closer together is the single most useful thing we heard all week.

2. Live Xero data in Microsoft 365, Claude and ChatGPT

Xero is opening up live ledger data to AI assistants directly. Xero also reported that usage of its MCP server grew roughly tenfold between December 2025 and May 2026 — a signal that this is where the ecosystem is heading, not a side experiment.

This is our lane. We built 13 purpose-built AI agents in-house — work Gusto recognised with a national AI Innovation Award this year. Native access to live Xero data removes a lot of the plumbing we have been building ourselves.

3. Practical automation for the parts nobody enjoys

A cluster of releases pointed the same direction: enhanced auto bank reconciliation, smarter document capture, cash flow gap flagging, automated payment follow-ups, and a month-end agent that drafts prepayment and amortisation journals — with human review still required. Xero also introduced native bill payments and expense management, and a scenario-planning tool that models price rises, cost increases and hiring against real ledger data.

One more thing worth noting: Ignition was named Global Practice App of the Year. We run our proposals and engagements through Ignition, so that one got a cheer from our table.

Zoholics USA — Houston, May 12–13, 2026

Who went: George Wilson and Jennifer Sanford (Director of Client Success & Operations).

Two days of finance deep-dives. The headline was the launch of Zoho ERP for the US market, aimed initially at manufacturing, retail, distribution and nonprofits. Alongside it: Zoho Cards, Zoho Travel, more AI in Zoho Expense, and Zia Agents and Zoho MCP embedded across the suite rather than bolted on as a separate AI product.

The announcement most relevant to us: Zoho Payroll now supports all 50 US states. We process payroll in all 50 states, so a second platform reaching full national coverage genuinely widens what we can recommend to a client rather than work around.

Zoholics Manila — July 3, 2026

Who went: Girard Santos (Systems Manager) and Johanna Prila (AI Enablement Lead).

Zoho has been investing heavily in the Philippines, and the Manila event leaned hard into agentic AI — software that takes action rather than just reporting. Sending our Systems Manager and our AI Enablement Lead to that particular conversation was deliberate: they are the two people who turn what gets announced on a stage into something that actually runs inside our workflows.

It also says something about how we are built. Our team spans two continents, and we would rather have our people in the room where their part of the stack is being discussed than watch a recording afterwards.

What this means for our clients

The through-line across all three events was the same, and it matches what we have been building toward for two years: the software is moving from recording what happened to acting on it — and every credible vendor is keeping a human in the loop by design.

That is exactly how we run our own AI work. The agents gather; our accountants decide. Nothing reaches a client without a person reviewing it.

We are evaluating several of the releases above against our current stack now. When something earns a place in how we serve clients, we will roll it out deliberately and tell you why — not because it was announced with a keynote slide behind it.

Questions about Xero, Gusto, Zoho, or which combination actually fits your business? We work with companies in all 50 states from our office in Chattanooga. Book a call with us.

Product announcements above are as publicly reported from Xerocon Denver 2026 and Zoholics USA 2026. Availability and timing are set by Xero, Gusto and Zoho, not by Southern Payroll & Bookkeeping.

Gusto has named Southern Payroll & Bookkeeping a national winner in its 2026 AI Innovation Awards, recognizing our firm in the Growth & Scale category — one of six firms selected from across the country.

The award came with a $5,000 prize as part of a $30,000 total distribution, but the recognition matters more than the check. It says something we have believed for a while: the firms that win the next decade are the ones that give their people better tools, not more hours.

The problem we set out to solve

A few years ago we ran an honest audit of how our accountants spent their time. The answer was uncomfortable. Roughly 80% of it went to gathering data — pulling reports, chasing documents, reconciling one system against another — and only about 20% went to the part clients actually hire us for: telling them what the numbers mean and what to do next.

That ratio is backwards, and it is the same in most firms our size.

What we built

Under the direction of Johanna Prila, our AI Enablement Lead, our team built 13 specialized AI agents, each pointed at a specific bottleneck in our workflow. Two of the results:

A labor insights analysis that used to take 15 hours now takes 3 minutes.

A business valuation that used to take 6–7 hours now takes under an hour.

Every one of those outputs still passes through a human accountant before it reaches a client. The agents do the gathering. Our team does the judgment. That distinction is the whole point.

What it means for our clients

The time we get back does not go into billing more hours. It goes into advisory work — the conversations about pricing, hiring, cash timing, and entity structure that actually change a business’s trajectory.

As we put it to Gusto: instead of producing reports, we produce decisions.

If you run a firm

Gusto’s own advice at the end of the piece is the right place to start: your firm needs one task that is costing you hours. Find that one. Not thirteen. One.

Please join us in congratulating two outstanding leaders on well-deserved promotions.

Jennifer Sanford has been promoted to Director of Client Success & Operations, and Jamie Starr has been promoted to Payroll Team Lead.

Both have consistently demonstrated exceptional dedication to our clients, our team, and our mission. Their leadership, their commitment to getting the details right, and their willingness to go the extra mile have made a lasting impact across the firm.

Jennifer Sanford — Director of Client Success & Operations

In this role, Jennifer takes ownership of the client experience end to end: how quickly we respond, how clearly we communicate, and how smoothly the work moves between our payroll, bookkeeping, and advisory teams. If you are a client of ours, the quality of that experience is largely what Jennifer now spends her days on.

Jamie Starr — Payroll Team Lead

Jamie now leads our payroll desk. That means quality control across every payroll we process — the filings, the deadlines, and the multi-state details that catch growing businesses off guard. Payroll is unforgiving work: it is either right and on time, or it is a problem. Jamie is the reason it is the former.

Why we promote from within

We would rather promote than post a job listing. Both Jennifer and Jamie already know our clients, our systems, and our standards — and that is the part you cannot hire for.

As our CEO George Wilson put it: “I’m unbelievably proud of you both, and thankful every day that I have the privilege of working with you.”

As we continue to grow across all 50 states, we are glad to have them leading the next chapter — strengthening the experience we provide every client, and supporting the team behind that success.

Congratulations, Jennifer and Jamie. Thank you for everything you have done to help make Southern Payroll & Bookkeeping what it is today.

We’re growing. If you’d like to work with a team like this one, take a look at our careers page.

The post AI for Small Business: 5 Practical Ways Artificial Intelligence Can Save You Time and Money appeared first on Southern Payroll & Bookkeeping.

Artificial intelligence is no longer just for large enterprises. In 2024 and 2025, AI tools have become genuinely accessible for small business owners — and the ones who learn to use them early will have a real competitive advantage. At Southern Payroll & Bookkeeping, we help small and mid-sized businesses throughout the United States build more efficient, forward-thinking businesses. AI is a big part of that conversation.

1. AI for Bookkeeping: Automation That Saves Hours Every Month

The most immediate impact AI has on small business finances is through automated bookkeeping. Platforms like Xero use machine learning to learn your transaction patterns and automatically categorize bank feed transactions — so reconciling your books takes minutes instead of hours.

Xero’s AI-powered bank rules get smarter over time. After you categorize a transaction a few times, Xero begins automatically suggesting and applying the same category to similar future transactions. Combined with tools like Hubdoc — which uses AI to extract data from receipts and push it directly into Xero — you can nearly eliminate manual data entry from your bookkeeping workflow.

2. AI for Payroll: Smarter Compliance and Error Detection

Gusto, our recommended payroll platform for small businesses, uses automation and AI to flag potential payroll errors before they’re submitted — things like hours that look unusually high, tax withholdings that look off, or employees who may have crossed a state wage threshold. This kind of proactive error detection is invaluable for multi-state payroll across the United States.

Gusto also automates payroll tax filings and payments in all states, eliminating one of the most error-prone aspects of payroll management for growing businesses.

3. AI for Financial Forecasting and KPI Dashboards

Tools like Fathom, Syft Analytics, and Float connect to your Xero or QuickBooks data and use AI-driven modeling to generate cash flow forecasts, profitability projections, and KPI dashboards — automatically updated as your numbers change.

Instead of spending hours building spreadsheet models, business owners can see their key metrics in a live dashboard and ask “what if” questions: What if revenue drops 20%? What if I hire two more employees? What is my runway if revenue slows? These are questions that used to require a full-time CFO. AI-powered tools make them accessible to any small business.

Our fractional CFO services at Southern Payroll & Bookkeeping include setting up and maintaining these dashboards for clients across the United States.

4. AI Writing and Marketing Tools

AI writing tools like ChatGPT, Claude, and Gemini are helping small business owners create content faster — blog posts, email newsletters, social media captions, job descriptions, client proposals, and more. Business owners who used to spend hours on these tasks are now completing them in minutes by using AI to generate first drafts and editing for their own voice.

For local businesses in Chattanooga, Nashville, Atlanta, Birmingham, and beyond, AI-assisted content creation is an affordable way to compete with larger competitors on marketing without a full marketing team.

5. AI for Customer Service: Chatbots and Automated Responses

Many small businesses are now using AI-powered chatbots on their websites to answer common customer questions, collect lead information, and route inquiries to the right team member — 24/7, without additional staff. Tools like Intercom, Drift, and Tidio make this accessible for small businesses at very low cost.

For service businesses — accounting firms, payroll providers, contractors — a well-configured chatbot can handle initial intake and qualification, freeing your team to focus on high-value conversations.

AI and the Future of Small Business Finance

The integration of AI into accounting and payroll platforms is accelerating. Within the next few years, AI will identify tax-saving opportunities in real time, flag anomalies that suggest fraud or error, predict cash shortfalls weeks in advance, and automate more of the compliance burden that consumes small business owners’ time.

The businesses that will benefit most are the ones building good financial infrastructure now — clean books, the right software, and an advisory team that understands both the technology and the financial strategy.

If you’re using QuickBooks or a spreadsheet to manage your accounting and you’ve been hearing about Xero, you’re not alone. More and more small and mid-sized businesses across the United States are making the switch — and for good reason. Xero has grown into one of the most powerful cloud accounting platforms in the world, and its ecosystem of integrations, real-time reporting, and intuitive interface makes it especially well-suited for growing businesses.

At Southern Payroll & Bookkeeping, we are a Xero Platinum Partner — the highest tier of Xero certification — meaning we’ve guided dozens of businesses through Xero migrations, setup, and ongoing management. Here’s what you need to know about switching to Xero.

What Is Xero and Why Are Businesses Switching?

Xero is a cloud-based accounting platform built for small and mid-sized businesses. Unlike desktop software, Xero runs entirely in your browser — meaning you can access your financials from anywhere, and your bookkeeper, accountant, and CFO advisor can all work in the same file simultaneously without emailing spreadsheets back and forth.

Key reasons businesses switch to Xero include: real-time bank feeds that auto-import and categorize transactions, a clean and intuitive interface that business owners can actually use, a large app marketplace (800+ integrations) for payroll, inventory, CRM, and more, strong reporting including profit & loss, balance sheet, and cash flow statements, and multi-currency support for businesses with international clients or suppliers.

Xero vs. QuickBooks: Which Is Right for You?

Both Xero and QuickBooks Online are excellent platforms, and the right choice depends on your business size, industry, and how you want to work with your accounting team. Here’s a straightforward comparison:

Feature

Xero

QuickBooks Online

Bank Feeds

Automatic, real-time

Automatic, real-time

User Seats

Unlimited users included

Limited by plan

Interface

Clean, modern, intuitive

Feature-heavy, can be complex

Payroll Integration

Gusto, Xero Payroll (select regions)

QuickBooks Payroll

App Marketplace

800+ integrations

750+ integrations

Inventory

Basic (advanced via DEAR, Cin7)

Built-in (advanced plans)

Reporting

Strong, customizable

Strong, slightly more robust at enterprise level

Pricing

Competitive, flat per plan

Competitive, scales with features

For most growing businesses that want clean books, real-time visibility, and easy collaboration with their bookkeeper, Xero is the stronger choice. For businesses that are very deeply embedded in the QuickBooks ecosystem or need robust inventory management, QuickBooks may still make sense.

The Xero Migration Process: What to Expect

Migrating from QuickBooks or spreadsheets to Xero doesn’t have to be painful. Here’s the typical process we follow with clients:

Discovery & Cleanup: We review your current books, identify any cleanup needed, and establish a migration start date.

Xero Setup: We configure your Xero account — chart of accounts, bank feeds, tax settings, invoice templates, and integrations.

Data Migration: We migrate your opening balances and historical data from your previous platform.

Reconciliation: We reconcile your accounts in Xero to make sure everything matches your prior records.

Training: We walk you and your team through how to use Xero for day-to-day tasks.

Ongoing Support: We manage your Xero books on an ongoing monthly basis, or support your in-house bookkeeper.

Xero Integrations That Southeast Businesses Love

Xero’s power comes from its integrations. Some of the most popular tools our clients in the United States connect to Xero include Gusto for payroll, Stripe and Square for payment processing, Hubdoc for receipt and document capture, Float for cash flow forecasting, Shopify for e-commerce businesses, and ServiceM8 or Tradify for trade and field service businesses.

Ready to Switch to Xero?

Southern Payroll & Bookkeeping is a Xero Platinum Partner serving businesses throughout the United States. Whether you’re starting from scratch or migrating from QuickBooks, our team handles the entire process so your books stay clean and your business keeps moving.

Cash flow is the lifeblood of any small business. You can be profitable on paper and still run out of money — and that’s exactly what happens to thousands of small business owners every year. In fact, poor cash flow management is one of the leading causes of small business failure, even among businesses that are technically growing.

At Southern Payroll & Bookkeeping, we work with small and mid-sized businesses throughout the United States to get their cash flow under control. Here’s what you need to know — and what you can do right now to improve your position.

Cash Flow vs. Profit: What’s the Difference?

Profit is what’s left after you subtract your expenses from your revenue on an income statement. Cash flow is what’s actually moving in and out of your bank account. The two can be very different — especially if you invoice clients and wait 30, 60, or 90 days to get paid, or if you carry significant inventory or have large fixed expenses.

A business can show strong net income in Xero or QuickBooks while simultaneously running low on cash because the money hasn’t actually arrived yet. This is why understanding your cash flow statement is just as important as reading your profit & loss report.

The 5 Biggest Cash Flow Mistakes Small Businesses Make

1. Not Having a Cash Flow Forecast

Most small business owners react to cash flow problems after they happen. A 13-week cash flow forecast — updated weekly — lets you see problems coming 90 days in advance so you can act before the crisis hits. We build and maintain these forecasts for clients using Xero’s reporting tools and integrated cash flow add-ons.

2. Slow Invoicing

Every day you delay sending an invoice is a day later you get paid. Automate your invoicing through Xero or QuickBooks so invoices go out immediately when work is completed. Set up automated payment reminders so you don’t have to chase payments manually.

3. Mixing Personal and Business Finances

This is one of the most common issues we see with small business clients. When personal and business funds are mixed, it’s nearly impossible to accurately assess your business cash position. Separate accounts — and a dedicated bookkeeper who reconciles them monthly — are non-negotiable.

4. Ignoring Seasonal Patterns

Most businesses have predictable seasonal revenue patterns. If you don’t account for slower months in your cash planning, you’ll consistently be caught off guard. Your bookkeeping data from the last 12-24 months is your best source of truth for identifying these patterns.

5. Not Knowing Your Burn Rate

Your burn rate is how much cash your business consumes each month before accounting for revenue. Every business owner should know this number. If revenue dips unexpectedly, your burn rate tells you how many months of runway you have before you need to make hard decisions.

How Xero & Real-Time Bookkeeping Improve Cash Flow Visibility

One of the biggest advantages of cloud-based accounting software like Xero is real-time visibility into your financial position. When your bank feeds are connected and your bookkeeping is current, you can see your actual cash balance, outstanding invoices, and upcoming bills in one dashboard — without waiting for a monthly report.

As a Xero Platinum Partner, Southern Payroll & Bookkeeping sets up and manages Xero for clients across the United States so they always have an accurate picture of their cash position. We also integrate cash flow forecasting tools like Float or Syft Analytics for clients who need deeper projections.

Fractional CFO Support for Cash Flow Management

If your cash flow challenges are more complex — rapid growth, significant debt, seasonal volatility, or expansion into new markets — you may benefit from fractional CFO support. Our fractional CFO services give small and mid-sized businesses access to senior financial strategy without the cost of a full-time CFO. We’ll build financial models, run scenario analyses, and help you make data-driven decisions about timing, pricing, and growth.

Take Control of Your Cash Flow

Southern Payroll & Bookkeeping helps businesses throughout the United States build the financial visibility and discipline they need to grow sustainably. If you’re not sure where your cash is going — or you’re tired of being surprised at the end of the month — we can help.

The post Multi-State Payroll: What Tennessee, Georgia & Alabama Business Owners Need to Know appeared first on Southern Payroll & Bookkeeping.

Quick answer: If your employees live or work in more than one of Tennessee, Georgia and Alabama, you may need to register and file in each state. Tennessee doesn’t tax wages. Georgia withholds a flat state income tax (4.99% for 2026). Alabama withholds on a graduated 2% to 5% scale, and some cities, including Birmingham, add a local occupational tax. Unemployment insurance is generally owed to the state where the employee’s work is based.

If your business operates across the United States — or if you hire remote employees in multiple states — you already know that payroll gets complicated fast. Multi-state payroll isn’t just about running numbers. It involves navigating different state income tax requirements, unemployment insurance rates, workers’ compensation rules, and filing deadlines across every state where you have employees.

At Southern Payroll & Bookkeeping, we specialize in multi-state payroll for small and mid-sized businesses throughout the Southeast. Here’s what every business owner should understand before their first multi-state payroll run.

What Makes Multi-State Payroll Different?

When you pay employees in more than one state, you take on separate compliance obligations in each state. These include state income tax withholding (not all states have income tax — Tennessee eliminated individual income tax in 2021, but Georgia and Alabama both have it), state unemployment insurance (SUI) rates that vary by employer and state, workers’ compensation insurance requirements that differ by state, and local taxes in certain cities and counties.

The most common mistake small business owners make is assuming payroll works the same across state lines. It doesn’t. And the penalties for getting it wrong — underpaying SUI, filing in the wrong state, or missing a registration deadline — can be costly.

State-by-State Payroll Overview: TN, GA & AL

Tennessee Payroll

Tennessee has no state income tax on wages, which simplifies withholding. However, Tennessee employers are still responsible for federal payroll taxes, FUTA, and Tennessee’s state unemployment insurance (SUTA). Tennessee SUTA rates range from 0.01% to 10%, depending on your employer experience rating.

Georgia Payroll

Georgia has a flat individual income tax rate (4.99% for 2026, after the state’s most recent rate cut). Georgia employers must withhold state income tax, register for a Georgia withholding number, and file Georgia G-7 quarterly withholding returns. Georgia SUTA rates vary based on employer experience.

Alabama Payroll

Alabama has a progressive individual income tax with rates ranging from 2% to 5%. Alabama employers must register with the Alabama Department of Revenue and file A-1 or A-3 withholding returns. Certain Alabama cities — including Birmingham and Montgomery — also have local occupational taxes that must be withheld and remitted separately.

Nexus: When Does a State Tax Obligation Begin?

Payroll nexus is triggered when you have an employee working in a state — even temporarily, even remotely. If your Chattanooga business hires a remote employee in Atlanta, you now have Georgia payroll obligations. This is a common surprise for growing businesses expanding across state lines.

Before you hire your first out-of-state employee, make sure you’ve registered for the appropriate state employer accounts and set up correct tax withholding in your payroll software.

How Gusto & Xero Make Multi-State Payroll Easier

At Southern Payroll & Bookkeeping, we use Gusto and Xero to manage multi-state payroll for our clients. Gusto automatically handles multi-state tax registration, withholding calculations, and filings across all states where you have employees. Combined with Xero’s real-time bookkeeping integration, your payroll costs are categorized and reconciled automatically — giving you clean financials without extra work.

As a Xero Platinum Partner and Gusto specialists, we configure these platforms to handle your specific multi-state situation from day one.

Signs You Need a Multi-State Payroll Expert

You’ve hired a remote employee in a state you don’t currently operate in

You’re expanding your business to a new state

You’ve received a notice from a state tax authority about missing registrations or filings

You’re not sure which state your employees’ wages should be reported in

Your payroll software is giving you errors related to state tax setup

Get Multi-State Payroll Right the First Time

Southern Payroll & Bookkeeping serves businesses throughout the United States with expert multi-state payroll services. Whether you’re running payroll in one state or three, our team handles the complexity so you can focus on growing your business.

What Exactly is a Break-Even Point?

In plain English, your break-even point is the exact moment your total revenues equal your total expenses. It means you didn’t make a profit, but you didn’t lose a dime either. Every dollar you make after this point is pure profit.

To find this number, you have to look at your business costs in two distinct buckets:

Fixed Costs: Expenses that stay the same no matter how much you sell (e.g., rent, insurance, software subscriptions, salaries).

Variable Costs: Expenses that fluctuate directly with your sales volume (e.g., raw materials, inventory, credit card processing fees, shipping).

3 Reasons Every Business Owner Needs to Know This Number

1. It Pulls the Blindfold Off Your Pricing Strategy

Are your products or services priced high enough to actually cover your lifestyle and business goals? Many owners price their offerings based on what competitors charge. This is a trap. Your competitors might have lower rent, cheaper labor, or be on the verge of bankruptcy.

When you calculate your break-even point, you learn your contribution margin, the amount of money left over from each sale after paying variable costs. If your contribution margin is too low, you’ll quickly realize you have to sell an impossible amount of inventory just to pay your basic utility bills. Knowing your break-even point helps you price for profit, not just for volume.

2. It Makes Growth Decisions Predictable (Not Stressful)

Thinking about hiring a new employee? Want to expand your storefront or invest in a massive digital marketing campaign?

Instead of crossing your fingers and hoping it works out, you can use your break-even formula to stress-test the decision beforehand:

“If this new hire adds $4,000 a month to my fixed costs, how many more units do I need to sell each week just to cover their salary?”

Suddenly, abstract growth goals turn into concrete, daily sales targets for your team.

3. It Mitigates Risk and Secures Financing

If you ever plan to apply for a small business loan, secure a line of credit, or pitch to an investor, the first thing they will look at is your financial viability.
When Should I Switch From Sole Proprietor to S-Corp?

As a business owner in the Chattanooga area, there comes a thrilling moment when your business takes off. You’re landing more clients, your revenue is climbing, and suddenly, you realize you’re no longer just a small side hustle.

With that rapid growth comes a major tax question we hear every day at Southern Payroll & Bookkeeping: “When should I switch from sole proprietor to S-Corp?” If you feel like you’re losing a massive chunk of your hard-earned revenue to self-employment taxes, you aren’t alone. Let’s break down exactly how the math works, the local rules for the 2026 tax year, and the signs that your business is ready to make the leap.

The Bookkeeper’s View: How Uncle Sam Taxes You

As a bookkeeping firm, our job is to keep your financial records immaculate, so you always know exactly where your money is going. When looking at entity structures, the difference comes down to how your daily transactions are tracked and taxed.

Sole Proprietorship (or Single-Member LLC)

By default, you are a “disregarded entity” for tax purposes. All of your net business profit passes directly to your personal tax return. The catch? You have to pay a 15.3% self-employment tax (which covers Social Security and Medicare) on 100% of your net earnings. For 2026, the Social Security wage base has increased to $184,500, meaning even more of your income is subject to that 12.4% portion of the tax.

S-Corporation Election

An S-Corp isn’t a completely different type of business; it’s a special tax status you elect with the IRS. As an S-Corp, you wear two hats: you are the owner and an employee of your business.

You pay yourself a “reasonable salary” via standard payroll (W-2), which is subject to the 15.3% employment tax.

The remaining business profits can be taken as “owner distributions,” which are exempt from the 15.3% payroll tax.

To keep this legal, you must have an active payroll system running. That’s exactly where a payroll company steps in to keep things running smoothly.

Below that amount, the administrative costs of running an S-Corp (like setting up payroll and filing corporate tax returns) will likely wipe out any tax savings. But once you cross that threshold, the math starts working heavily in your favor.

3 Signs Your Back Office is Ready for an S-Corp

Before your tax professional gives you the green light to file the paperwork, you need to ensure your daily operations can handle it. Here is what we look for on the bookkeeping and payroll side:

1. Your Net Profits are High and Predictable

If your business is generating more revenue than you reasonably need to cover your personal living expenses, or if your profits consistently exceed $75,000, stop waiting to make the change.

2. You’re Ready to Put Yourself on an Official W-2 Payroll

The IRS strictly enforces that S-Corp owners pay themselves a “reasonable compensation.” You can’t just write yourself, owner draws whenever you want; you must process an official W-2 payroll check with proper tax withholdings. If you are ready to implement a structured payroll system (which we specialize in), you are ready to make the switch.

3. Your Bookkeeping is Immaculate

An S-Corp requires stricter corporate financial hygiene. The IRS looks closely at these entities, meaning you need clean financial statements, separate bank accounts, and a precise record of every dollar moving through your business. Co-mingling personal and business funds is a massive red flag.
